Creating an Export Booking

Overview

This article explains the step-by-step process of creating an export booking in the system. The process includes entering booking details, adding cargo information, assigning a route, and reviewing the booking for accuracy.

Steps to Create an Export Booking

1. Navigate to the Booking Screen

  • Go to Menu → Booking → Booked Order.

  • The system will display a list of all previously created bookings.

  • To create a new booking, click the New Page button.

2. Enter Booking Information

In the booking form, fill in all the mandatory fields:

  • Order Type: Select Agency Export

  • Booking Party

  • POL Agent (Port of Loading Agent)

  • Shipment From / Shipment To

  • POD Agent (Port of Discharge Agent)

  • Principal

  • Shipper and Consignee

  • Salesman

  • Type of Booking (e.g., Direct Booking)

Note: Ensure all details are entered accurately as they will be used in subsequent processes.

  • Once complete, click the Save button.

  • A unique Booking Number will be generated.

3. Add Cargo Details

  • Navigate to the Cargo section.

  • Click the Plus (+) button to add a new cargo entry.

  • Fill in the following details:

    • Unit Type (e.g., 20GP)

    • Booked Quantity

    • Main Commodity (if applicable)

    • Package Type

    • Number of Packages

    • Gross Weight

    • Weight UOM

    • Volume UOM

  • After entering all the details, click Save to confirm the cargo entry.

4. Assign a Route

  • Go to the Route section.

  • Since the export voyage has already been created, select the relevant voyage from the list.

  • The system will automatically populate voyage details into the booking.

  • Review the auto-filled data and click Save.

5. Review the Booking

Once saved, open the booking to review all sections:

  • Booking Basics

  • Cargo

  • Route

  • Income & Cost (fetched automatically from MRG)

Tip: Always verify that all details are accurate before proceeding with further operations.

Outcome

By following these steps, you will successfully create an export booking with complete details for booking basics, cargo, and route. The system ensures financial accuracy by automatically fetching income and cost details from MRG.
